Property management paving in Toronto

Managing several properties means the paving question is never one repair, it is a list: which sites, which hazards, what each one costs and what order to do them in. What is useful is a scope you can take to an owner or a board, not a quote that says walkway repair and a number.

  • Every site walked and numbered
  • Priced section by section
  • Hazards ranked before cosmetics

Scope, Not Quote

What a managed portfolio actually needs

A single number for a whole portfolio is useless to a manager, because it cannot be approved, staged or explained to anyone. What works is a document with a line for every defect: which property, where on it, what it measures, a photograph, what the repair is and what that section costs.

Ranked so the genuine trip hazards sit at the top and the cosmetic settlement sits at the bottom, and the whole thing subtotalled by site.

Then a board or an owner can approve the top of the list this year and the rest next, and you have a record of what was identified and when, which matters if any of it is ever questioned.

We produce that for the walk rather than for each job, so the same document carries you through several approval cycles. See how condo walkways are documented, how parking areas are surveyed by zone, and how plazas and storefronts get staged.

How It Runs

Four steps to a scope you can take to a board

  1. Walk every site

Each property is covered fully rather than only where something was reported, because the reported defect is rarely the worst one present.

  2. Number, measure, photograph

Every defect gets a line, a measurement and an image, so the document works as a record as well as a quote.

  3. Rank hazard before cosmetic

Trip hazards sit at the top of the list and settled but safe areas at the bottom, which is the order an approval should follow.

  4. Subtotal by site and section

Each property and each section carries its own price, so partial approval is straightforward rather than a renegotiation.

Across Budget Years

A ranked list is built to be approved in parts

Very few portfolios get everything approved at once, so the scope is written assuming they will not. Sections are priced independently and the ranking tells you what to do first, which means a board can approve the top third this year without anyone re-costing the rest.

See how full restoration is broken down on a single property, what condo walkways need documenting, and how parking areas are staged.

Common Questions

Property management questions from Toronto managers

Asked on most visits for this kind of work.

No. The walk and the resulting scope document are part of quoting, whether the work is approved this year, next year or not at all.
A line per defect with location, measurement, photograph, proposed repair and price, ranked hazard first and subtotalled by property and by section.
That is what it is built for. Sections carry their own prices so a board can take the top of the ranked list without anything being re-costed.
A week or two for the document depending on how many sites, since the photography and measurement are what take the time rather than the walking.
Yes, where the scope overlaps with landscaping or asphalt. We are clear about where our work stops so nothing falls between two trades.
Only if something changed. You get the walk report, and after that a short note if a surface we flagged as watchable moves into needing work. We do not send a monthly email about a patio that is behaving.

We manage a dozen properties with interlock. They keep a file per site and tell us what needs doing before tenants complain.

One quote, one invoice, and a photo report for every job. Exactly what we need to show the owners.

They flagged a walkway that did not need work yet and put it on next year's list. That kind of honesty is why they have the contract.

Emergency trip hazard at a rental was fixed the next morning and the note came to me before the tenant even called.
